Editing Scans

We are not photo editors, but we are able to do light cropping and straightening of digital images. If your files need editing, create a new folder in the project folder titled Edited Scans and place a copy of the original files in this folder. These are the files you will work on. If something goes wrong wile editing, the original scans will remain unchanged.

Crop, lighten, or straighten images as needed in Photoshop.

A. To find out the resolution or dimensions of a file:

  1. Go to the top task bar and select Image > Image Size
  2. This will tell you the pixel dimensions, document size, and resolution, all of which you can change from this screen.
  3. PC Command for this is Ctrl + Alt + i

B. How to tilt an image if it turns out askew:

  1. Select the Crop Tool (not the Rectangular Marquee Tool which can also be used to crop).
  2. Once the Crop Tool has been selected, if you mouse over the image at the corners, there is a two-sided arrow. You can turn the image and rotate it this way beyond the normal 90 degree rotation.

C. To lighten or tone an image that has turned out too dark or light:

  1. Go to the top task bar and select Image > Auto Tone or Auto Contrast
  2. If you still aren't satisfied, go to Image> Adjustments and adjust using the options within that menu.

D. If you have a scan or image that has turned out with an inconsistent background that you want to make more uniform, use the Magic Wand Tool.

E. To batch convert multiple files from one file format to another:

  1. Open Photoshop.
  2. Select Image Processor via File > Scripts > Image processor.
  3. Locate and select the files that you want to batch convert. These should be the images saved for the patron requests in Patron Scans Completed.
  4. Choose where you wish to save the newly converted images. The same folder in Patron Scans Completed is likely the best option, since these files are specifically edited for the patron.
  5. Choose the format you wish to convert to, such as JPEG, TIFF, etc.
  6. Lastly you can choose to run an action under "Preferences." The ICC Profile option will be checked by default.
  7. Select "Run."

F. To adjust halftone images and reduce moiré patterns:

  1. Open image in Photoshop.
  2. Select the Rectangular Marquee Tool.
  3. Click and drag over the area you would like to blur.
  4. Go to the top task bar and select Filter > Blur > Gaussian Blur.
  5. Make sure "Preview" is selected.
  6. Adjust the radius until the desired blurring effect is achieved.
  7. Click OK.

Once you are finished editing, place the edited scans in the corresponding folder in Patron Scans Completed.

Accessibility

Accessibility is paramount when creating digital files for public display. Most often, this work will be important when digitizing text documents for Digital Collections. Follow these steps to create accessible PDF copies of digitized material.

  1. Create a new working folder in your project folder titled "Access."
  2. Open Adobe Acrobat.
  3. Click "Create" at top of page.
  4. Drag and drop image file(s) onto the application, then click "Create."
  5. From the "All tools" menu on the left side of the screen, select "Scan & OCR."
  6. Under "Recognize Text," click "In this file," then "Recognize Text." 
  7. Click "Correct recognized text" and select the "Review recognized text" checkbox. Review and edit the recognized text as necessary.*
  8. Save the file to the Access folder.
  9. Under "All tools," click "Prepare for accessibility."
  10. Click "Check for accessibility." The Accessibility Checker Options should look like the image below.

  1. Click "Start Checking."
  2. In the Accessibility Checker menu on the right side of the screen, fix any issues identified by the Accessibility Checker. The most common areas needing remediation are under "Document," (Tagged PDF, Logical Reading Order, Primary Language, Title, and Color Contrast) "Alternate Text," and "Headings." Right-click on the issues to fix them. 
  3. Check color contrast manually. Right click the issue to pass, fail, or skip the rule.
  4. Logical Reading Order tells screen readers the order in which to read the various sections of the document. Check the logical reading order manually by clicking on the "Fix reading order" tool in the menu on the left side of the screen. Edit tags as needed, then click "Show Order Panel." Here, you can rearrange the reading order as necessary.
  5. Save and close the document.

*If Acrobat is having a hard time recognizing text in a document, the color contrast might be too low. Open the file as an image in Photoshop to adjust the contrast, then create a new PDF. If this does not help, transcription may be necessary.
